Exhibitor FAQs

The FFAIR Manual is your single source of truth for the show. Everything you need to exhibit lives there, organised into three areas worth bookmarking:

Tasks — your live checklist of what's due and by when.
Show Info — key event details broken into sub-categories: shell scheme, space only, health & safety and more.
Exhibitor Shop — order stand extras directly: graphics, furniture, electrics and additional services.

Log in any time at app.ffair.io. Anything marketing-related — logos, copy, co-branded assets — runs through the separate Marketing Form.

Five steps, five minutes:

1. Use the registration link in your welcome email, or find it on the event website.
2. Select the Professional Ticket option.
3. Fill in your personal and company details.
4. Under "How did you hear about the event?", select Exhibitor / Sponsor — this is what unlocks your correct pass type and access permissions, so don't skip it.
5. Confirm your details to complete registration.

Bringing colleagues? Use + Add guest on the same form and tag each of them under Exhibitor/Sponsor too.

Your badge scanner is built into an app, not a separate device. Download it to your mobile, log in with your exhibitor profile, and you can scan attendee badges to capture their data on the spot.

The app goes live closer to the show — we'll confirm the download details and launch date via the FFAIR Manual and email nearer the time.

Order directly through the Exhibitor Shop inside the FFAIR Manual. Each shell scheme panel is 1 metre wide, and your panel count depends on your stand's size and layout.

Once your order is placed, our supplier Showlite will send you a Dropbox link and artwork specifications so you can upload your files straight into production.

Yes. Check the graphics specification for your shell scheme in the FFAIR Manual first, so your files arrive print-ready and fit the panel dimensions exactly. If anything's unclear, the team can confirm specs before you send artwork to print.

Yes — it's a standard legal and industry requirement, not optional. Public Liability Insurance covers claims from third parties for injury, death or property damage linked to your stand's operation: legal costs and compensation included.

Under IQPC's terms and conditions, the minimum cover is:

£2,000,000 — Shell Scheme exhibitors, and Space Only exhibitors using a separate contractor.
£5,000,000 — Space Only exhibitors building their own stand.

Note this is distinct from Employers' Liability Insurance, which covers your own staff, not third parties.

Our preferred freight partner is Premier Showfreight — book deliveries and on-site handling directly with them for the smoothest process, including access to the loading bay and material handling on the day.

Using your own courier instead? Deliveries are only accepted during official tenancy hours — anything arriving outside that window is outside our control, so plan the drop-off carefully. Full delivery address and access details are in the event manual.

All vehicle access for loading and unloading runs through a booked time slot on Voyage Control. The system opens roughly one month before the show — check the exhibitor manual for the exact date.

Trolleys are not permitted in the Boulevard. If you can hand-carry your items from the car park, you're free to do so without a slot. If not, book a Voyage Control slot for vehicle access — required for both build-up and breakdown.
